Account Setup

Once you have access to the platform, you'll need to configure your agency account. This guide walks you through the essential settings.

Accessing Agency Settings

Navigate to Dashboard → Settings from the sidebar. You'll see four main configuration tabs:

1. General - Basic agency info and defaults
2. Branding - Logo and colors (white-label)
3. Domain - Custom domain setup
4. Credits & Billing - Balance and usage

1. General Settings

Configure your agency's basic information and defaults.

What You Can Set

• Agency Name - Your agency's display name (e.g., "BrightSpark Digital")
• Slug - URL-friendly identifier (e.g., "brightspark-digital")
• Contact Email - Your agency contact email
• Contact Phone - Optional phone number
• Default AI Model - Fallback model for agents that don't specify one
• Display Currency - How costs are displayed (GBP, EUR, USD)
• Locale - Language and formatting (e.g., en-GB for British English)

Default AI Model

This model is used when an agent doesn't have a preferred model set. Common choices:

• openai/gpt-4o-mini - Fast and cost-effective (default)
• openai/gpt-4o - More powerful for complex tasks
• anthropic/claude-3-5-sonnet - Excellent for detailed responses
• Plus 120+ other models from OpenAI, Anthropic, Google Gemini, Alibaba, Meta, and more

You'll see only models that you've enabled in Dashboard → Models & Providers.

2. Branding (White-Label)

Customize the platform to match your agency's brand identity.

What You Can Customize

• Logo - Your agency logo (displayed in sidebar and client dashboards)
• Primary Color - Main brand color (hex format, e.g., #0066FF)
• Secondary Color - Accent color for UI elements

How Branding Works

• Your logo and colors appear throughout the platform
• Clients see YOUR branding, not the platform's
• Branding applies to:
  • Dashboard sidebar
  • Client workspaces
  • Email notifications
  • Chat widgets

Best Practices

• Logo: Upload a square PNG with transparent background (recommended: 256x256px)
• Colors: Choose high-contrast colors for accessibility
• Consistency: Match your existing brand guidelines

3. Domain Configuration

Set up your custom domain for a fully white-labeled experience.

Domain Options

Option 1: Platform Subdomain (Default)

• Format: yourslug.platform.com
• Already configured and working
• No setup required

Option 2: Custom Domain (Recommended)

• Use your own domain (e.g., ai.youragency.com)
• Requires DNS configuration
• Fully white-labeled URL

Setting Up Custom Domain

1. Add Domain in the Domain tab
2. Configure DNS with your domain provider:
   • Add CNAME record pointing to platform
   • Wait for DNS propagation (can take up to 48 hours)
3. Verify - Platform automatically checks DNS setup
4. Activate - Once verified, your custom domain is live

4. Credits & Billing

Manage your agency's credit balance and understand costs.

Your Credit Balance

Your prepaid balance is displayed at the top of the Billing tab:

• Green - Healthy balance (>$20)
• Yellow - Running low (<$20)
• Red - Empty ($0) - all workspace chats are blocked

Topping Up Credits

1. Click "Top Up Credits" button
2. Choose amount ($20, $50, $100, $200, $500, custom)
3. Pay via Stripe (credit/debit card)
4. Credits added instantly

💡 Tip: Set up alerts when balance drops below $50

Storage Usage

View your total storage used across all workspaces:

• Pay-as-you-go - No storage limits
• Automatic billing - Daily charges based on actual usage
• Base cost: $5/GB per month
• Your cost: Base cost + platform markup (typically 20%)

Example: 500MB storage = ~$2.44/month

Storage charges are automatically deducted from your credit balance daily.

Understanding Platform Pricing

Platform Markup: The percentage the platform charges on top of base costs (AI + storage)

• Default: 20%
• Applied to: AI token costs AND storage costs
• Fixed per agency (contact support for enterprise pricing)

Example Calculation:

• AI base cost: $0.0100
• Platform markup: 20%
• You pay: $0.0120

You can then add your own markup when charging clients.

Transaction History

The Billing tab shows all your credit transactions:

• Top-ups via Stripe
• AI usage deductions
• Storage charges (daily)
• Workspace allocations

Use this to track spending and reconcile with your own billing.

Important Notes

Credit Requirements

• ⚠️ Zero balance blocks all chats across workspaces
• Keep balance above $20 for uninterrupted service
• Set up low-balance notifications

Platform Markup

• Platform markup is set per agency
• Default 20% can be negotiated for enterprise
• Applies to ALL costs (AI + storage)

Currency Display

• All credits stored in USD internally
• Displayed in your preferred currency (GBP, EUR, USD)
• Exchange rates updated daily
